Managing access and authentication for your Zaptec Pro system

With Zaptec Pro, managing access is simple. Whether you want an open system where anyone can charge or a restricted setup for approved users only, you're in control. 

This guide will show you how to give access to others, set up authentication, and keep your charging system secure.

 


 

Different types of access

There are three types of users in a Zaptec Pro installation:

  • Owners - Full control over settings, users, and monitoring. 
  • Users - Can plug in and charge, but can't change settings. 
  • Service partners - Installers and maintenance teams who help with setup and technical support. 

If your installation is managed by a third party (such as an external operator), you may need to contact them to adjust access settings. 

 


 

Open or restricted charging? Your choice! 

With Zaptec Pro, you can decide who can use your chargers.

  • Open access (Native authentication) - No authentication is required and anyone can plug in and charge without needing an app or RFID.
  • Restricted access (Authorisation required) - Only approved users can charge. Native authentication is used to autorise via Zaptec app or Zaptec Portal registered RFID. 

You can turn these settings on or off anytime.

 


 

How to give someone access to a Zaptec Pro installation

Using the Zaptec Portal (Desktop version):

  1. Go to Installations and choose your installation.
  2. Find Permissions,  + Give permission, and enter the user email or Lookup key if this is a partner. 
  3. Assign the role and save.

Using the Zaptec app:

  1. Log in and go to the Installations tab.
  2. Tap Access, + Add access.
  3. And add users by email or enter the Lookup key if this is a partner.  They'll get a link to sign up and start using the chargers.
  4. Choose the role (Owner, User, or Service).

How to give access to a specific Zaptec Pro charger

Access to individual Zaptec Pro chargers can only be managed in the Zaptec Portal:

  1. Log in and go to Installations.
  2. Select your installation and the charging station you want to manage.
  3. Go to Permissions > + Add permission.
  4.  Add users by email or enter the Lookup key if this is a partner. They'll get a link to sign up and start using the chargers.
  5. Choose an access level.

Third-party connected? If the Zaptec Pro system is managed by a third party, access must be controlled through their platform.

 


 

How to require authentication for charging 

When authentication is required, charging stations are locked and only approved users can charge. To activate authentication:

  1. Log into the Zaptec Portal.
  2. Go to Installations and click on your installation.
  3. Go to Settings Authentication > Native authentication. 
  4. Toggle Authorisation required ON.

Setting authentication for individual chargers

You can also require authentication for specific chargers. Please note that this may not be possible if the facility is connected to a payment operator. 

  1. Go to the installation in the Zaptec Portal.
  2. Select the charging station you want to disable authentication for.
  3. In the Settings tab of the charging station, uncheck Authorisation required.
  4. Click Save.

If authentication is disabled for some charging stations, reports may need to be generated separately.

 


 

How to give access to an installer or payment provider

Need to add a service partner or a payment operator? The installation owner can provide this access.

  1. Ask them for their Zaptec Lookup key, (a 4-digit code found on their user group page in the portal).Screenshot 2025-02-21 at 16.06.17.png

  2. In the Zaptec Portal, go to Permissions and click Give permission.

  3. In the Add Permission box, click the Partner tab.
  4. Enter their Lookup key > Search, and select the partner.

  5. Select the necessary permissions (e.g., Service).
  6. Click Next, then Save.

FAQ

Which RFID cards are supported by Zaptec?
Zaptec supports NFC/RFID standard: MIFARE Classic, type A - one of the most common standards.

 

How can I register a charge card against my user profile?
In the app, go to My Account> add Zaptec key and scan the key on the RFID sone. 
In the Zaptec Portal this is done manually. Zaptec Portal > My profile > Add charge card > enter number on chip.  If you want to use your credit card etc for authentication we recommend adding it to the app. 

 

How do I know if authentication is required for the charging station?
The status indicator light will turn yellow when plugging in the vehicle. In the Zaptec app a key icon will appear. In the Zaptec Portal, the charge point will be marked with a lock.
