Understanding the Zaptec roles and permissions

Zaptec’s EV charging solutions offer tailored access and control based on user roles within the system. With three key roles – User, Owner, and Service – Zaptec ensures that everyone involved in the charging process can perform their necessary tasks while keeping the system secure and organised.

  • User: Basic access to plug in and charge their vehicle. 
  • Owner: Manages installations and charging stations, including monitoring usage, locations,  billing, and configurations.
  • Service: Technical access, managing and maintaining the charging stations and installations.

 



Roles in Zaptec 

In Zaptec, access rights differ based on the system used. For Zaptec Pro, access is managed at both the charger and installation levels. Meanwhile, Zaptec Go only allows for role assignments at the installation level. Here's a breakdown of how these roles function:

 



User 

Basic access to plug in and charge their vehicle. Access is limited to charging session details and history.

  • What they can do: 
    • Can plug in and charge their vehicle.
    • Access to charge when authentication is required.
    • Can view the charge history for their own sessions. 
    • Can see which installations or chargers they are assigned to. 
    • What they can't do:
      • Cannot access the full overview of the installation or charging station.

When to use this role:

This is perfect for someone who just needs to charge their vehicle and view their own charging history. If authentication is required, the User can still charge, but they won’t have access to broader station details.

 



Owner

Manages installations and charging stations, including monitoring usage, locations,  billing, and configurations.

  • Owner of charging station
    • What they can do:
      • Manages a specific charging station.
      • Can monitor the status of the charging station and view charging history. 
      • Can control settings like user access and usage. 
    • What they can't do:
      • Cannot view charge history for the entire installation.
      • Cannot access technical settings for the installation. 

  • Owner of the installation
    • What they can do:
      • Manages the entire installation of charging stations. 
      • Can change most settings and access usage data.
      • Can manage and assign access to other users.
      • Can manage charge history for the entire installation.
      • Can create reports to track charging costs and usage.
      • Can enable power management functions. 
      • Can subscribe to warning emails for notifications.
      • Serves as the point of contact for the installer.
    • What they can't do:
      • Cannot change technical settings for the system or individual chargers.

When to use this role:

This role is best for someone who is responsible for the setup, monitoring, and day-to-day management of the charging stations and installations.

 



Service (Service partners/installers)

  • What they can do:
    • Has the highest level of control over installations and chargers.
    • Can change technical settings for both chargers and installations.
    • Can add new chargers and create new installations (requires user group).
    • Can enable advanced power management functions.
    • Provides maintenance, troubleshooting, and technical support.

When to use this role:

This role is reserved for authorized service partners or certified installers. If you're responsible for installation, maintenance, or troubleshooting, this is the role for you.
