This guide explains how to grant access to a third-party partner, such as a CPO, installer, or integration provider, so they can manage a Zaptec installation on your behalf.
Access is granted through a secure link and tied to a user group, not an individual user. Once approved, everyone in that group will get access.
To create the access link, you'll need the partner's Lookup key, which identifies their user group in the Zaptec system.
Where to find the Lookup key
If you're the owner of the user group:
In the Zaptec Portal, go to the user group tab (visible only to group owners).
Select your user group.
Locate the Lookup key under Details.
If you're not the group owner:
You won't see the User groups tab, but you can still find the Lookup key:
Go to an installation where your group already has access.
Open the Permissions tab.
Find your user group in the list (look for the two-person icon 👥).
Locate the Lookup key under Details.
Step 1: Build the access link
The access request is created using this format:
https://portal.zaptec.com/access/request/<lookup_key>
Replace <lookup_key> with the actual key from the user group.
Example:
https://portal.zaptec.com/access/request/TZBV
If you're the partner, you can share this link with the Zaptec user.
- If you're the installer or admin, you can open the link yourself to approve access.
Step 2: Open the link and approve access
Open the link in a browser.
- Log in with a Zaptec account that has access to the installation.
- Review the access request.
- Approve or deny it.
Once approved, all members of the user group will be able to manage the installation.
What the user group can do
After approval, the third-party user group will be able to:
View installation and charging history.
Change installation settings.
Control and configure all chargers connected to the site.
Access applies to the entire installation, not just individual charging stations.
Access can be revoked at any time from the Zaptec Portal.
